+What is AccordView?

A shared workspace that keeps an HOA board and its property management company looking at the same list of issues, projects, and action items — who owns each one, what stage it is in, and what happens next.

+Is there a free trial?

Yes, for a brand-new paying subscriber setting up their first community: 30 days free, payment details at signup, $0 charged today, and the first charge when the trial ends unless you cancel. If you already have a subscription and add another community, that community starts billing right away — no second trial.

+How do I sign in after subscribing?

You get an email with a sign-in link. Follow it to create your password, or use the Google button instead. You can also request a single-use email sign-in link any time from the sign-in page. No password is ever emailed to you.

+What emails go out when someone subscribes?

Two: a welcome email to the subscriber with their organization and partner IDs and a link to set a password, and an invitation email to the other side explaining they have been invited and how to set up their own sign-in. The invitation contains no pricing, because the invited side does not pay.

+Can I link an organization that already uses AccordView?

Yes. At signup you can enter the other organization's 4-digit ID and its name and email fill in automatically. If you don't have the ID, enter their company name and email and we try to match an existing organization. An HOA community already tied to another management company can't be linked until that relationship ends, and we tell you at signup if that's the case.

+How does a management company add a community it already manages?

From the Portfolio page, Add a community opens a window with your company details already filled in and locked. Enter the HOA's 4-digit ID, or their name and email, choose monthly or annual, and pay. The HOA gets an invitation, your company owns that community's seats, and billing starts immediately.

+Can I upload board meeting notes?

Yes. On Board Meetings, Upload board meeting notes accepts Word (.docx), spreadsheet, and plain-text files. The text is read and turned into suggested issues, projects, and action items. Nothing is saved until you review the list, edit titles, categories, priorities and dates, tick the ones you want, and create them.

+Can the board rate how work was handled?

Yes. On any item, board users can leave a satisfied, neutral, or concerned rating with an optional note. Both sides see the ratings, and one rating per person per item can be changed or removed at any time.

+What is Manager recognition in the Portfolio?

It rolls up all board ratings into an overall mood for the whole portfolio, and you can switch the view to a single community to see that association's ratings on their own — useful when different managers handle different communities.

+Can we store documents, invoices, or photos?

No. AccordView is a visibility and communication workspace, not a document library. Meeting-note files you upload are read for their text and not kept as files. Keep records in your existing document system.

+How much does it cost?

$199 per month or $2,149 per year for one community workspace shared by an HOA board and its property management company. The subscription includes 5 user seats total, shared across both sides.

+Who pays when a property manager adds another community?

Each community has its own subscription. If an HOA board buys it, the board owns that community's license; if the management company buys it, the company owns that one. Seats belong to the community they were purchased for and never move to another community.

+Can one HOA have more than one management company?

No. Each HOA community is linked to exactly one property management company at a time. A management company, on the other hand, can manage many communities from a single portfolio.

+How does a property manager switch between communities?

The Portfolio page lists every community the company manages. Clicking one opens that community's own workspace, and the community currently being viewed is always shown in the header so there is no confusion about which board you are working in.

+Are items categorized?

Yes. When you create work you choose Issue, Project, or Action Item. Dashboards and lists group work by those categories, with Projects also shown on their own page.

+What is the journey map?

Every item has a visual journey showing Open, In Progress, Ready for Board Review, and Accepted/Closed. Each stage has a checklist — projects get longer suggested steps such as scope, bids, board approval, vendor scheduling, invoice, and walkthrough — and you can add your own. An item only moves to the next stage once the current stage's checklist is complete.

+What is a 'linked account'?

Every subscription ties exactly one HOA community to exactly one property management company. Each organization gets its own random 4-digit ID, and both sides work the same tasks from their own dashboards.

+Who can buy the subscription — the board or the manager?

Either. The purchaser enters their own organization details, then names and invites the other side by email. Whoever purchases controls the seats and the account lifecycle.

+What are the 4-digit IDs for?

Each HOA board and each property management organization is assigned a random unique 4-digit ID. IDs are used to link organizations together — for example, an HOA board can attach a new management company by entering that company's 4-digit ID.

+What is a super admin?

The user who purchased the subscription is the super admin. Only a super admin can promote another user to super admin, and there can be at most 2 super admins — both on the side that purchased the account. Super admins can transfer or close linked organizations.

+What is an admin, then?

An admin can add and remove users on the account, grant admin rights they hold, and purchase additional seats. Admins cannot create super admins and cannot close a linked organization.

+What can a member do?

Members work tasks according to the side they belong to: board members create and review, property management users own and update. Members cannot manage seats or billing.

+How do board and manager permissions differ?

The board creates issues, projects, and action items, assigns them to the property manager, requests due dates, sets priority, and comments. The board cannot mark a manager's task complete. The property manager owns assigned work, posts status updates, sets the expected completion date, and marks work Ready for Board Review. The board then Accepts/Closes it or returns it for more work.

+What happens when I need a 6th user?

Additional seats are $39 per month each and are free during the 30-day trial. On an annual plan an added seat is billed at $39 times the number of months remaining in the term, so every seat renews with the account.

+Can we change which users are on which side?

Yes. The purchasing admin decides how the 5 included seats are split — for example 3 board users and 2 manager users, or the reverse. Removing a user frees the seat immediately.

+What if the board changes property management companies?

If the board purchased the account, a board super admin has the new management company create an account and then assigns its 4-digit ID. All existing tasks and projects become visible to the new company, so nothing has to be re-entered. The old company keeps its ID but loses visibility, and the board super admin can close the old account. That action cannot be reversed.

+What if the management company ends the relationship?

If the management company purchased the account, a PM super admin can close the HOA board organization. Its seats return to the management company, the board's users can no longer sign in and are notified their account was closed, and their email addresses become available for new accounts. That action cannot be reversed.

+Can a management company serve more than one community?

Yes. A property management company can add another HOA board or community at any time; each additional community is its own subscription, and the seat rules apply per linked account.

+When does my subscription expire, and how do I renew?

Your dashboard shows a daily countdown banner as the trial or paid term nears its end. You can renew early at any time — the new term is added on top of the existing expiration date, so you never lose paid days. Billing details, plan changes, and cancellation are handled from the Account page.

+Do you offer refunds?

No. All monthly fees, annual fees, and seat charges are non-refundable, including unused time and including deletion or closure of an account. Cancelling stops future renewals only.

+What happens if a board and its manager part ways?

Only super admins of the organization that owns the license can end the relationship, and it takes an explicit confirmation. Ending it removes the departing partner's access to that community only — the community keeps all of its tasks and history, and the management company keeps full access to every other community it manages.

+Who owns the data?

You do. Content is visible to both linked organizations by design. AccordView does not verify submitted content, and you should keep your own backups of records you are required to retain.
