What we collect and how it is used.

1What we collect

Account information (name, email, organization and community details, 4-digit organization ID, role), content you submit (issues, projects, action items, comments, statuses, dates, cost figures, satisfaction ratings and their notes), the text of any meeting notes you upload, and technical logs needed to operate and secure the service. Payment details are collected and stored by our payment processor, not by us.

We do not host a document library: uploaded meeting-note files are read to extract their text and are not stored as files by us.

2How it is used and shared

Content you submit is visible to the other users on your linked HOA board and property management account, which is the purpose of the service. Satisfaction ratings are visible to both sides, including the property management company being rated. We use data to operate, secure, support, and improve the product, and we share it with processors (hosting, authentication, email, payments) acting on our behalf, or where required by law.

Meeting-note text you upload is sent to an AI provider solely to return draft suggestions for your review. Sign-in details are handled by our authentication provider, including when you sign in with Google or with a single-use email link. We do not sell personal information and do not use your content to train third-party public models.

3Retention, security, and your choices

We retain data for as long as your account is active. Closure or deletion of an account may permanently remove data and is not reversible and not refundable. We use reasonable technical safeguards but cannot guarantee absolute security. To request access, correction, or deletion, contact support@accordview.com.
